Terms and Conditions for Kentmere Farm Pods Gift Vouchers

 

Kentmere Farm Pods gift vouchers are valid for 12 months from the date of issue.

There is a minimum booking of 2 nights. Stays must be taken before the expiry date 

 

Availability

All holidays/ visits are offered subject to availability. Kentmere Farm Pods is a popular site and books well in advance. Please book as early as possible to secure the dates you would like.

 

Redeeming your voucher  

All vouchers are non-transferable and must be redeemed by phone or email, not through our on-line booking system. Please call us 01539 821210 or email info@farmpods.co.uk to check availability

 

Each voucher contains a unique code, which is needed to verify the voucher and book a holiday, along with the name and postcode of the recipient. To redeem a voucher please give the code on your voucher to Kentmere Farm Pods when you book along with your full name and postcode.  Once the code has been given, your voucher is effectively ‘spent’.

 

Gift vouchers can be used as full or part payment for a holiday. If the glamping fee is higher than the value of the original voucher, the difference will need to be paid to Kentmere Farm pods at the time of the booking. 

 

Gift vouchers are non refundable and non transferable.  (Guests who can’t come when planned due to coronavirus legal restrictions will be offered alternative dates.) 

 

Gift vouchers cannot be exchanged for cash.  Excess can be used to pay for towels, a firepit, wood or charcoal or ‘change’ of £10 and over will be offered in voucher form.

 

Gift vouchers must be kept safely and securely. Kentmere Farm Pods will take no responsibility for any loss you may incur as a result of theft, impersonation or identity fraud. We do reserve the right to cancel gift vouchers that we deem to have been obtained fraudulently.

 

Refunds

Refunds can only be made on unused gift vouchers bought direct from Kentmere Farm Pods within 14 days of purchase. Refunds are always made to the person who purchased the voucher.

 

Cancellations

Kentmere Farm Pods are not liable for refunds or expenses you incur in the event we are prevented from fulfilling your Booking as a result of circumstances beyond our control. Such circumstances shall include (but will not be limited to) war, terrorism, serious crime, industrial action, flooding, natural disaster, epidemics/pandemics or such similar events ("Force Majeure"). We recommend that you have adequate holiday insurance in place to cover this.

 

In the unlikely event of a cancellation of your booking by us - if we are unable to provide the booked holiday and have to cancel before the holiday is due to start, you are entitled to new dates or a refund.  If we are forced to close due to Covid restrictions we will offer alternative dates or a refund minus a small administration fee of £15 per pod booking.

 

Description

Complaints

We appreciate your feedback, so please bring any comments or issues to our attention as soon as possible, so that we have a chance to put matters right.

 

Other Terms and Conditions

All the above terms and conditions apply as a condition of using our vouchers, whether or not the voucher holder is the original purchaser. Kentmere Farm Pods reserves the right to change these terms from time to time without reference to customers. These terms and conditions do not affect your statutory rights as a consumer, and are governed by and in accordance with British law.

Booking Terms and Conditions 

 

Before confirming your Pod booking please take time to read the information below.  It includes vital information regarding cancellation policies and the amenities and services at the site, which will assist you with planning your holiday.

Covid 19

In order to ensure that all our visitors and neighbours feel safe on the farm, we ask all our customers to observe the 2 metre social distancing rule towards anyone not in their party. Please ensure that children understand and abide by this.  Visitors with a dog must keep their dog under control and on a lead near around other visitors. Anyone clearly flouting these guidelines will be asked to leave without a refund.

All guests are required to strip their beds and place the laundry in the black bag provided to help keep cleaners safe.  Guests are required to leave promptly at 10am in order for us to carry out a deep clean of the pods before each booking.  Due to on-going Covid restrictions we have decided that we can NOT accept any bookings for more than two pods together in 2021. Please see group bookings below.

 

Payment Policy

To secure your booking, full payment is required at the time of booking.  We do not accept provisional bookings so please do not make a booking unless you are in a position to honour it.  We accept most major debit/credit cards.

 

Cancellation/No-show policy

In the event of a cancellation or not turning up, we do not offer any (either full or partial) refund.

 

In the unlikely event of a cancellation of your booking by us - if we are unable to provide the booked holiday and have to cancel before the holiday is due to start, you are entitled to new dates or a refund minus a small administration fee of £15.per pod booking.   Unfortunately we are unable to refund any booking fees taken by an agent.  You will need to contact Cool Camping or Glampingly in regards their commission.

Travel Insurance

We strongly advise you to take out the appropriate travel insurance for your own peace of mind so that your costs will be covered should you need to cancel your holiday or if we are unable to fulfil your booking as a result or a Force Majeure (see above)

  

Barbecues/Campfires

Campfires and guests own barbecues are not permitted on site. Only barbecues provided by us can be used and only on the grass or stone patio area.  Never on the decking or within the pod.  Wood for fire pits must be bought from Kentmere Farm pods - guests own wood is not permitted.  No other material other than wood and NO coal must be burnt on the fire pit. No wood is to be cut or gathered from the farm.  In the event that we decide that the wind is too strong and could put the farm buildings/farm pods at risk from fire, we retain the right to curtail the use of fire pits or barbecues from immediate effect and with no prior notice until the danger has passed.

 

Parking

There is a designated parking area - a short walk along paths to the pods.  Visitors are allowed one car per pod free of charge.  A second car can be booked for a fee.  We are keen to restrict the number of cars to reduce our carbon footprint.  Please drive slowly on the farm and be aware that children and animals are on the site.  Please take extra care when driving in the car park, which is part of the camping field and keep this gate closed to help keep children safe.

 

Lighting

To minimise light pollution, we have only provided a solar light where the pod decking meets the path.  Please bring torches with you to find your way at night.  The pods have external lights on the deck area.

Pod Rules

To keep our pods looking nice for our visitors, we do not allow shoes, walking boots or wellingtons to be worn in the pods. We provide wooden boxes outside the door to store these in.  No cooking or fires are permitted on the wooden deck area. 

  

Smoking

There is absolutely no smoking (including e-cigarettes) permitted either in the pods, on your pod decking, patio or within the pod the field.

 

Dogs

One well-behaved dog is welcome ONLY in White Howe camping pod.  Your dog must be kept off the furniture and must not be left unattended in the pod at any time.  The pod needs to be left clean and tidy particularly in relation to dog hair.  Your dog must be kept on a lead and under control at all times. Owners must clear up after their dog immediately and put waste in the black bin.  Unfortunately if you arrive with a dog without making a prior booking you will be turned away and no refund will be issued.

Bikes

These can be kept in a locked shed nearby.  We also have a hose pipe to wash down your bike should you need to. Bikes are left at the owner’s own risk and we accept no responsibility for any loss or damage that may occur.

 

Drones

To insure both the peace and privacy of our guests, we do not allow drones to be flown on the farm

 

Group Bookings

We do not accept hen or stag parties.  Due to on-going Covid restrictions we have decided that we can NOT accept any bookings for more than two pods together in 2021.  We will enforce this rigorously.   Group bookings (of more than two pods) made without prior written permission will be cancelled without notice. No refund will be given and visitors will be asked to leave.  Bookings for groups (friends or families) made under different individual names will be treated as a group booking and the same rule applies.  

Arrival/Departure

Guests self check in.  There is a key safe and we will send you the code a few days before arrival so you can let yourself in.  Check in from 3.30pm.  Please do not arrive early as we need time to prepare your pod for you. We are unable to accept check-ins after 10pm. 

 

We are usually around on the farm, so you can probably catch us if you have any queries.  Check out is 10am.  Please leave your key in the key safe.  Lost keys will incur a charge, which will be made to the payment card used at the time of booking.  This will be reimbursed if they are returned within one week of leaving. Late checkout may incur additional charges.

 

Cleaning

Cleaning is not included and pods must be left as clean and tidy as when you found them.  This includes the fridge, microwave, sink area, crockery, utensils and barbecue, the shower/toilet and basin.  We have left eco cleaning products for you to use.  We are keen to have as little impact on the natural environment as possible.

 

Kentmere Farm pods reserves the right to enter and inspect the pods at any time.  If the pod is left in an unsatisfactory condition or deliberately damaged in any way, we reserve the right to charge the costs to the payment method on booking.

 

Code of Conduct for Your Safety and Well-being

We expect all our guests to respect and look after the site and the pod in which you are staying.  We also require you to respect fellow guests and neighbours and to keep noise levels to a minimum after 10pm. We have a noise curfew between 10pm and 7am.

 

Parents are responsible for their children and children must be supervised at all times. 

 

We have sited our pods in a peaceful field on a working farm.  There are lots of paths and places to explore but access to farm buildings and areas clearly marked as No Entry are NOT permitted due to safety risks.  We take our Health and Safety responsibilities very seriously and ask our visitors to respect our safety rules.

 

For your own safety, please do not climb on the dry stone walls or allow children to play on them. Traditional dry-stone walls can be found across Cumbria and are made from unsecured stone.  They have stood for hundreds of years and it is important that we do everything we can to protect them and you.

 

Complaints Procedure

If you have a problem with your accommodation during your stay please advise us, as would like to be able to resolve it as soon as possible.  Please let us know of any breakages or maintenance issues that you come across.  We welcome feedback from all our guests and in the unlikely event that you wish to make a complaint you can contact us by phone or email and we will respond.  We will try to resolve any issues as soon as possible.

 

Liability

We accept no liability for any loss or damage that may occur to your car or associated property whilst your are on the Kentmere Farm Pod site except where such loss or damage is as a result of our negligence or a breach of our duty to you.

 

Damage, Loss, Theft

Guests agree to inform the owners of any damage or loss however caused, excluding reasonable wear and tear incurred during occupation.  Guests should not remove any item from the property.  The owner may ask for reasonable replacement costs.  Charges for damaged or missing items may be made to the payment card used at the time of booking.

 

Guests will find an inventory in their pod when they arrive.  The inventory lists the items in each pod and the cost to replace missing, broken, damaged or melted items.  Items not paid for before guests’ departure will be charged, without prior notice, to the card used at the time of booking.
